IFS Institute, Inc. (“IFSI”, “we”, “our”, or “us”) is committed to safeguarding your privacy. This Privacy Policy outlines the types of information we collect, how we use and protect that information, and your rights concerning your Personal Data. By using IFS Learning Hub, our Learning Management System (“LMS”), and related services, you consent to the practices described in this Privacy Policy. 

1. Information We Collect

1.1. Personal Information: We may collect information that can be used to identify you (“Personal Data”) such as your name, email address, contact information, and demographic details when you register for an account, enroll in courses, or interact with our Learning Management System. We may offer you the ability to receive updates either via email or by posting on portions of our LMS  (“Site”). In order to subscribe to these services, you may be required to provide us with Personal Data such as your name and email address. We may receive Personal Data when you send us an email message or otherwise contact us. Our LMS provides you with the ability to pay for courses and other services using a credit card or other methods through a third-party payment processing service provider. Please note that our service provider-not the LMS-collects and processes your financial information.  

1.2. Usage Data: We may collect and aggregate necessary information about your interactions with the Learning Management System, including your course progress, quiz results, time spent on the platform, and other activity data. This information may include, among other things, your name and email address.  

1.3. Device and Log Data: We automatically collect information about your device, including IP address, browser type, operating system, and other technical data when you access our Learning Management System. We may be able to determine from an IP address a user’s Internet Service Provider and the geographic location of their point of connectivity. Location data may be used to route your traffic to the nearest regional server to reduce latency and improve your experience. We may also use cookies and web beacons when you visit our Site.  

2. How We Use Your Information

2.1. We use your Personal Data to: 

  • Provide and improve our LMS, Site, and services. We use Personal Data which you provide to us in order to allow you to access and use the LMS and to provide any information, products, or services that you request from us.  
  • Communicate with you regarding your account, courses, updates, and promotions. 
  • Analyze usage patterns and trends to enhance the user experience. 
  • Provide technical support and ensure security. We may use Personal Data to provide technical support to you, where required, and to ensure the security of our LMS and the Site.  
  • Send updates. We use Personal Data collected when you sign-up for our various emails or update services to send you the messages in connection with the Site or LMS. 
  • Manage LMS instructional experience, including but not limited to tracking attendance, progress, and completion. We also may archive this information and/or use it for future communications with you, where we are legally entitled to do so.  
  • Identity verification. For services that require identity verification, we may use the Personal Data that we collect for verifying your identity, and for authenticating that submissions made through the LMS or on the Site were made by you.  

2.2. We may use your usage data and device information to diagnose technical issues, monitor the performance of the platform, and ensure security. 

3. Data Sharing and Disclosure

3.1. We do not sell, trade, or rent your Personal Data to third parties. Except as set forth in this Privacy Policy, or as specifically agreed to by you, we will not disclose any of your Personal Data.  

3.2. We may share your information with: 

  • Instructors and course administrators for educational purposes and to assist with the creation, modification, or operation of the courses and content. 
  • Service providers, vendors, and contractors who assist in delivering our services (e.g., hosting, analytics, payment processing). Access to your Personal Data by these service providers is limited to the information reasonably necessary for the provider to perform its limited function for us. For these providers, we recommend that you read their privacy policies. Once you leave our Site or redirected to a third-party website or application, you are no longer governed by the Privacy Policy or our Site’s Terms and Conditions.  
  • Legal authorities or law enforcement when required by applicable laws, regulations, court orders, or other legal processes to establish or exercise our legal rights, protect our property, defend against legal claims, or as otherwise required by law. We may also share your Personal Data when we believe it is appropriate to investigate, prevent, or take action regarding illegal or suspected illegal activities; to protect and defend the rights, property, or safety of the Site, LMS, our users, customers, or others; and in connection with our Terms and Conditions and other agreements.  
  • Acquirers, assignees, or other successor entity in connection with a sale, merger, or reorganization of all or substantially all of the equity, business, or assets of IFSI to which your Personal Data relates.  

4. Retention of Personal Data

4.1. We keep your Personal Data for no longer than necessary for the purposes for which the Personal Data is collected and processed. The length of time we retain Personal Data for depends on the purposes for which we collect and use it and/or as required to comply with applicable law and to establish, exercise, or defend our legal rights.  

5. Data Security

5.1. We will use industry standard physical, technical, and administrative security measures to protect your Personal Data from unauthorized access, loss, misuse, alteration, or disclosure. However, no method of transmission over the internet or electronic storage is completely secure so we cannot 100% guarantee the security of Personal Data, and there is some risk that an unauthorized third party may find a way to circumvent our security systems or that transmission of your information over the Internet will be intercepted. It is your responsibility to protect the security of your login information. Please note that email communications are typically not encrypted and should not be considered secure. 

All direct payment gateways adhere to the standards set by PCI-DSS as managed by the PCI Security Standards Council, which is a joint effort of brands like Visa, MasterCard, and Discover.  PCI-DSS requirements help ensure the secure handling of credit card information by our store and its service providers. 

NOTE: At no point during the transaction does IFS Institute take custody or store your credit card information. This process is monitored and managed by Stripe, and you can access theirhttps://www.directpayinc.com/privacy Privacy terms.  

6. Updating or Deleting your Personal Data

6.1. You have certain rights in relation to your Personal Data. You can access your Personal Data and confirm that it remains correct and up to date, choose whether or not you wish to receive material from us or some of our partners, and request that we delete or provide you with a copy of your personal data by contacting [email protected] 

6.2. If you would like further information in relation to your rights or would like to exercise any of them, you may also contact us at [email protected]. We try to answer every request promptly where possible and provide our response within the time period stated by applicable law. Keep in mind, however, that when deleting your Personal Data there may be residual information that will remain within our databases, access logs, and other records, which may or may not contain your Personal Data. Please also note that certain Personal Data may be exempt from such requests in certain circumstances, which may include if we need to retain your Personal Data to comply with a legal obligation. When you email us with a request, we may ask that you provide us with information necessary to confirm your identity. 

7. Cookies and Tracking Technologies

7.1. We use cookies and similar technologies to enhance your experience, collect usage data, and improve our services. This includes helping us determine and identify repeat visitors, the type of content and sites to which a user of our Site links, the length of time each user spends at any particular area of our Site, and the specific functionalities that users choose to use. To the extent that cookies data constitutes Personal Data, we process such data as set out in this Privacy Policy. We use both session and persistent cookies on the Site and we use different types of cookies to run the Site including essential cookies, analytical and performance cookies, functionality cookies, and targeting cookies. You can adjust your browser settings to refuse cookies, but this may affect certain features of the platform. 

8. Changes to this Privacy Policy

8.1. We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. Any change, update, or modification will be effective immediately upon posting on our Site. We will notify you of any material changes by email or through the LMS or posting on the Site. Be sure to return to this page periodically to ensure familiarity with the most current version of this Privacy Notice.  

9. Age of Consent

9.1. We strongly believe in protecting the privacy of children. Any use or access by anyone under the age of majority in your state is prohibited, and certain regions and LMS content may have additional requirements and/or restrictions. In line with this belief, we do not knowingly collect or maintain Personal Data on our Site or through our LMS from persons under the age of majority in their state, and no part of our Site or LMS is directed to persons under the age of majority. If you are under the age of majority for your state, then please do not use or access this Site at any time or in any manner. We will take appropriate steps to delete any Personal Data of persons less than the age of majority for their state that has been collected on our Site without verified parental consent upon learning of the existence of such Personal Data.
